The Kenya Association of Records Managers and Archivists (KARMA) has emphasized the need for close collaboration with Information and Communications Technology (ICT) stakeholders to promote and fast-track the record digitization process in the country. The organization believes that digitizing records is crucial for easier access, cost savings, quick retrieval, and ensuring the safety of archived materials.

According to Ms. Mary Kerema, Secretary ICT, e-Government and Digital Economy, the government's strategy to make government paperless is progressing well, with Kenya experiencing a digital awakening. "Digitization dramatically increases safety, data privacy, convenience, and accessibility, creating more ways to present records to new and wider audiences," she said.

KARMA Chairman Dr. Cleophas Ambira highlighted the importance of investing in cybersecurity to protect digitized records from cyber threats and malicious actors. "Getting records digitization right also requires investment in Cyber-security to ensure the confidentiality, integrity, and availability of digitized records," he said.

The organization is planning to host its ninth Annual Records Management Conference in November 2025, under the theme "Unlocking Smart Government." The conference aims to bring together stakeholders to discuss emerging technologies and trends in records management.

Dr. Ambira emphasized the importance of tapping into emerging technologies such as Artificial Intelligence to increase efficiency, reduce human error, and improve decision-making in records management. The government has also expressed its commitment to enabling the ICT industry to achieve its goals in line with the National Digital Master Plan 2022-2032.

The collaboration between KARMA and ICT stakeholders is expected to promote the digitization of records, improve access to information, and enhance the overall efficiency of records management in the country.
